Controller, operator and scope
This Privacy Policy (the “Policy”) describes how CatMind.ai (“CatMind”, “we”, “us” or “our”) collects and processes personal data when you visit, register for, access or use the CatMind website, account, dashboards, pet profiles, media-analysis tools, feedback features and related services (together, the “Platform”).
This Policy applies to personal data connected with CatMind. Information relating only to an animal is not normally personal data, but it may become personal data when connected to an identifiable owner, household, location, voice, image or account.
Your use of the Platform is also governed by the Terms of Service. By continuing or creating an account, you agree to the Terms and acknowledge receipt of this Policy and the Cookies Policy. Optional cookies or optional dataset contribution remain subject to separate choices where required.
Uploaded content
Your privacy responsibilities
You are solely responsible for the media and information you choose to upload and for having a valid legal basis, permission and authority to provide it. This includes video, audio, photographs, notes and any personal data relating to household members, visitors, veterinarians, animal professionals or other identifiable people.
Do not upload government identifiers, financial information, medical records, private conversations, precise location information or other sensitive data that is not necessary for a CatMind analysis. Position the camera to avoid recording other people, private documents, screens, addresses and unrelated conversations.
If another person appears or can be heard in content, you must inform them and obtain any consent or other lawful basis required for recording and uploading. You remain responsible for compliance with recording, privacy, image, property and animal-welfare laws applicable to you.
These responsibilities do not remove or reduce any data-protection obligation that applicable law places on CatMind as controller.
Personal data we collect
We collect only the categories needed to provide, secure and improve the Platform or comply with law. The exact data depends on the features you use.
Identity and access
Name, email address, password stored in hashed form where password sign-in is enabled, account identifier, email-verification status, linked sign-in provider, provider subject identifier and provider email.
Information you enter
Pet name, breed, sex, age, dimensions, weight, neuter status, profile photo and optional notes.
Video, audio and images
Uploaded recordings, extracted audio, selected frames, pet photographs and incidental people, voices, interiors or objects captured in them.
Derived technical data
Detections, tracks, pose points, face-geometry proxies, scene objects, audio scores, motion features, hypotheses, confidence values and result files.
Confirmations and notes
Confirmed behaviour or context, optional notes, personalization features, dataset choice, consent version and timestamps.
Optional public contribution
A separate Showcase consent, the pet name and basic profile fields shown in the preview, a compact metadata-free copy of the profile photo when one exists, one compressed evidence frame with CatMind overlays, an analysis snapshot, moderation status and timestamps. A generic cat illustration is used when no consented profile photo is available. Showcase does not copy or retain video or audio and does not extend the original analysis media retention. Owner identity, email, account ID, location, pet notes and original filename are excluded from the public card. Withdrawing the contribution removes its retained profile-photo and evidence-frame copies.
Attribution and fraud-review data
Referral code, inviter and invited account identifiers, qualification events, reward and revocation records, timestamps, and pseudonymous IP or browser-device hashes used only as review signals. Raw device identifiers are not stored by the referral service.
Device and service events
IP address and server access logs where enabled, browser and request information, file metadata, original filename, file size, duration, job status, errors and timestamps.
We also receive communications you send to support, including the contact details and information contained in the message.
Why we process data and our legal bases
Where CatMind becomes aware of suspected prohibited or unlawful content — including suspected sexual abuse or sexual exploitation of an animal — we may process the relevant upload, account information, technical records and related communications only to the extent reasonably necessary to investigate, protect animals and people, enforce the Terms, establish or defend legal claims, and comply with applicable law. This does not mean that CatMind continuously or automatically reviews every upload for prohibited content.
Where we rely on legitimate interests, we consider the necessity of the processing and balance our interests against your rights and reasonable expectations. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing.
AI analysis and automated processing
CatMind uses automated models and heuristic systems to analyse animal-related media. Processing can include object detection, animal tracking, pose estimation, audio classification, motion analysis and multimodal hypothesis generation. These systems create technical inferences about a recording and may be inaccurate.
CatMind does not use human facial geometry to identify people, authenticate users or create human biometric identity profiles. The Platform is designed to analyse pets, but incidental human images or voices may still be present in uploaded media and processed as pixels or sound during the requested workflow.
CatMind outputs are not intended to make decisions that produce legal or similarly significant effects about a person. You must not use them for employment, insurance, policing, legal culpability, human profiling or other high-impact decisions.
This is CatMind's single best current hypothesis. It is not a statement of proven intent, emotion, need, or health.
Confidence describes support for the visible and audible observation — not certainty about what your cat intends or feels.
These are plausible explanations, not conclusions from a validated intent, emotion, or medical model.
This is an experimental interpretation, not a veterinary diagnosis.
Browser storage, cookies and similar technologies
The current Platform uses local browser storage to remember your selected light or dark theme and, after login, to store a short-lived access token used to authenticate requests. Anyone with access to your unlocked browser profile may be able to use an active session, so you must secure your device and log out on shared devices.
Strictly necessary cookies or similar technologies may be used for authentication, security, request routing or remembering privacy choices. Google sign-in uses a short-lived HttpOnly transaction cookie to bind the browser to a one-time OAuth state value; it is removed after the callback. These technologies do not require consent where the law treats them as necessary for a service you requested.
Non-essential analytics, advertising or marketing technologies will not be activated where prior consent is required unless you make a separate affirmative choice. If CatMind introduces them, the Cookies Policy and available preference controls will describe their purpose and duration.
International data transfers
CatMind is operated from the Netherlands. Some service providers may process data outside your country or outside the European Economic Area. Where required, we use a valid transfer mechanism such as an adequacy decision, the European Commission's Standard Contractual Clauses, and supplementary technical or organisational measures.

How long we keep data
We retain personal data only for as long as necessary for the purposes described here, considering account status, user choices, security, legal duties and technical constraints.
Dataset contributions: only analyses you explicitly opt in are eligible for a pseudonymous dataset export. Account details, pet name, original filename and free-text notes are excluded from that export. You may withdraw consent before export or further use where the interface permits. Withdrawal does not make earlier processing unlawful and may not allow removal of information already irreversibly anonymised or incorporated into an already trained model. We will honour applicable deletion and withdrawal rights to the extent technically and legally possible.
Security
We use technical and organisational measures intended to protect data against accidental or unlawful loss, alteration, access or disclosure. Measures include password hashing, verified email links, single-use password-reset tokens stored only as hashes, session revocation after credential changes, OAuth state, nonce and PKCE checks, authenticated account access, access controls, data minimisation, isolated job storage and deletion workflows.
No internet transmission, model pipeline or storage system can be guaranteed completely secure. You are responsible for using a unique password, protecting your device and access token, logging out of shared devices and promptly notifying us of suspected unauthorised access.
Where a personal-data breach creates a legally reportable risk, we will notify the competent authority and affected individuals as required by applicable law.
Your privacy rights
Depending on applicable law, you may have the right to:
- request access to and a copy of your personal data;
- correct inaccurate or incomplete personal data;
- request deletion of personal data in applicable circumstances;
- restrict or object to certain processing, including direct marketing;
- receive data you provided in a structured, commonly used and machine-readable format;
- withdraw consent at any time where processing is based on consent;
- request information about relevant international-transfer safeguards;
- lodge a complaint with the Autoriteit Persoonsgegevens or another competent supervisory authority.
To exercise a right, contact us using the details below. We may request information necessary to verify your identity and protect the account. Rights may be subject to lawful exceptions, and we will explain any refusal or limitation.
Children and third parties in recordings
The Platform is not directed to children and accounts may be created only by adults as described in the Terms. Do not intentionally upload recordings of minors. If you believe a child or another person appears in content without a valid legal basis, contact us so we can investigate and, where appropriate, restrict or delete it.
Use at your own responsibility
Misuse and reliance on outputs
You are responsible for the content you submit, the recording method you choose, the people and animals you involve, your legal basis for doing so, and every decision or action you take based on an output. You must independently review CatMind results and must not use them as veterinary diagnoses, proof of intent or instructions to provoke an animal.
To the maximum extent permitted by applicable law, CatMind is not responsible for harm caused by your unlawful recording, disclosure of another person's data, unsafe interaction with an animal, misuse of the Platform, or decision to act or not act based on an experimental output.
Nothing in this section limits CatMind's obligations as data controller or excludes liability that applicable law does not allow us to exclude.
Changes to this Policy
We may update this Policy when the Platform, our processing or applicable law changes. We will update the effective date and provide additional notice where required. If a new purpose is incompatible with the purpose for which data was collected, we will provide the required information and obtain consent where applicable before that further processing.
